Privacy Policy

Our company is a legally registered IT services company supporting the travel industry with innovative solutions. Airport Vaccination Center Oy is based in Finland and is therefore required to comply with EU GDPR as well as other national and international legislation.

Your privacy is important to us. It is our policy to respect your privacy regarding any information we may collect from you across our website, www.health4travel.com, www.airportvaccinationcenter.com, and related subdomains. This privacy policy does not apply to instances where information has been submitted to the Health4Travel service by a commercial partner (such as an airline or travel agency) or by authorities (such as customs and border control) to perform an automated document check.

Information we collect from you

We design and develop our site to minimise the amount of information we collect about you to ensure we only collect data required for us to provide and improve our services to you, and no more. Our objective of this information gathering is for you to have sufficient information on your travel documentation that is required by the airport, airline and customs staff to enable your smooth cross-border crossing and for you to enjoy stress-free travel.

When you visit our website

We may collect and process the following information:

  • Your computer's IP address
  • Your browser type
  • The pages you visit on our website
  • The time and date of your visit
  • The time spent on each page

Supplying this information is not mandatory and the collection of this information is based on your acceptance of analytics cookies.

When you perform a Covid-19 travel requirements check on our website

We ask you for the following information:

  • Details of traveller's journey and traveller's travel documentation
  • Where the traveller is departing from
  • Where the traveller is travelling to
  • Traveller's nationality
  • Travel document type (the ID or passport that you use for your travel)
  • Travel document issuing authority
  • Travel document expiry date
  • Traveller's current residency
  • Your current Covid-19 vaccination status (fully vaccinated or not vaccinated)

When you book a service on our website

The booking, payment, and collection of information is gathered in our application, but the health check is performed by one of our Partner companies. Whilst we gather the personal and travel-related information needed for your trip, the Partner may collect your health-related data based on the regulations of the country they are operating in. The Partner we have chosen has a licence to operate according to their local authorities. There is a clear distinction between data processing: Health4Travel gathers travel information and the Partner gathers health-related information, which you may need for your international travel.

When you create a Health4Travel user account

We ask you for your:

  • Email address
  • Mobile phone number
  • Or you may be able to sign up using single sign-on (SSO) services.

How we process your information

We collect, process, store, and disclose information for the following purposes:

  • to contact you about bookings and appointments made through our website or digital service
  • to perform a Covid-19 or other Travel requirements check
  • to create a Health4Travel user account
  • to provide you with access to and the possibility to use our website and associated applications
  • to contact and communicate with you about your Health4Travel user account or support inquiries
  • for internal record-keeping and administrative purposes
  • for analytics, market research, and business development, including to improve our website and associated applications
  • to comply with our legal obligations and resolve any disputes that we might have.

How long we retain information

The length of time we retain your information varies depending on the information. Information relating to user accounts is retained for as long as the user account is active. If a user account is not used for 60 months, then we might delete your account information.

Information gathered by Google Analytics is retained for a period of up to 48 months. Information gathered during a Health4Travel check is retained for 12 months.

Restrictions

You may choose to restrict the collection or use of your personal information and how it is used on our website. In that case, contact us by email info@health4travel.fi. If you ask us to restrict or limit how we process your personal information, we will let you know how the restriction affects your use of our website or products and services.

Access and data portability

You may request details of the personal information that we hold about you. You may request a copy of the personal information we hold about you.

Erasure

You may request that we erase the personal information we hold about you at any time. You may also request that we transfer this personal information to another third party. We will comply with these requests unless forbidden by law due to potential violation of others' rights or other legal requirements. For example, we are legally obliged to save details of your payment (like money transfers and invoices) in an archive according to the local authorities' bookkeeping rules.

If you believe that any information we hold about you is inaccurate, out of date, incomplete, irrelevant, or misleading, please contact us by email info@health4travel.fi, and we will take reasonable steps to rectify the issue.

We will comply with laws applicable to us regarding any data breach.

If you believe that we have breached a relevant data protection law and wish to make a complaint, please contact us by email info@health4travel.fi and provide us with full details of the alleged breach. We will promptly investigate your complaint and respond to you, in writing, setting out the outcome of our investigation and the steps we will take to deal with your complaint. You also have the right to contact a regulatory body or data protection authority about your complaint.

Our use of cookies

A cookie is a small piece of data that our website stores on your computer, and accesses each time you visit, so we can perform certain functions and understand how you use our site. We use first-party and third-party cookies of international airline industry databases to enable Health4Travel to function and for website analytics.

Our site uses some cookies to perform essential tasks that allow the site to function, such as aiding navigation, allowing users to log in to their accounts, and remembering your choices, for things such as consent for analytical cookies. These cookies cannot be turned off without causing the site to become inoperable.

We use analytic traffic tools for aggregated website traffic analysis — such as what pages you looked at, for how long, and so on. This information is important to us for improving the user experience and determining the site's effectiveness.

Disclosure of information to third parties

We do not trade, sell, or rent your information to any third parties. We will comply with government and law enforcement requests for data, as required by law, in connection with any actual or prospective legal proceedings, or to establish, exercise or defend our legal rights. Our site is supported by third-party providers to facilitate the provision of services. These include web hosting providers, such as AWS. We require such service providers to contractually commit to protecting the security and confidentiality of the information they process on our behalf.

International transfers of personal information

The data we process may be processed in several locations. The location where the processing takes place depends on several factors, such as your proximity to our processing locations and the current state of our internal systems. We have at least AWS Frankfurt as a location for processing data from the cloud. Some of our data processing locations may be at a later stage outside of the European Economic Area (EEA). No matter where your data is collected, processed, or stored, the same levels of security and data protection are maintained at all times.

We may transfer your data internationally to parties that reside or are obligated to comply with their legal requirements in other legal areas when required by you and your selected service providers. For example, when your travel departure or arrival location and your selected service providers reside outside the EEA area.

This privacy policy and data are controlled by AVC website collection and handling of data. We only work with partners and third-party providers whose privacy policies align with ours, however, we cannot accept responsibility or liability for their respective privacy practices. At our discretion, we may update this policy to reflect current acceptable practices. We will take reasonable steps to let users know about significant changes via our website. Your continued use of this site after any changes to this policy will be regarded as acceptance of our practices around data and personal information.
